This page explains, in plain language, what information Affinity Search Partners holds about the people it deals with, where that information comes from, what happens to it and how to make us stop. It covers this website and the business emails we send.

Who we are. Affinity Search Partners is an IT and information systems recruiting firm. We place contractors, contract-to-hire candidates, permanent hires and technology leaders with employers, working from Brentwood, Tennessee. Our postal address is 5123 Virginia Way, Suite A23, Brentwood, TN 37027. Whenever this policy says "we" or "us", it means Affinity Search Partners. Whenever it says "you", it means a visitor to this website or a person whose business contact details we hold.

Why you may hear from us. Our work depends on talking to people at companies that hire technical staff. We write to people whose roles relate to that work, typically those responsible for hiring, human resources, talent acquisition or a technology team, at their work email address. Now and then we may also call a business phone number or mail a letter to the company's business address. We reach out only when we believe the work could be relevant to the person's responsibilities, and we stop as soon as we are asked to.

The information we hold. Nearly everything we keep is ordinary business contact information: a name, a job title, an employer, a work email address, a phone number at the business, and the web address of a professional profile, where each of those exists. Alongside that we keep information about the company itself, such as its industry, size and location, and notes on public business activity, for example job postings, news coverage and posts made publicly on professional networks. Before sending an email we run a deliverability check on the address, and we keep the result. If you write to us or speak with us, we keep the correspondence and our notes of the conversation. We do not collect sensitive personal information, and we do not want it.

What this website records. There are no cookies on this site and no analytics tooling behind it. Our hosting provider keeps the standard technical logs that any web server keeps, such as the address a request came from and the page requested. The pages load a typeface from a font service, so that service learns your device's IP address at the moment the font is fetched. Nothing else about your visit is recorded by us.

Where the information comes from. Most of it comes from public sources: the websites of the companies themselves, postings on job boards, news reports and professional networking profiles. Some comes from commercial providers of business data, which supply contact details and company facts to firms like ours. The rest comes from you directly, whenever you answer one of our emails, fill in the enquiry form on the main Affinity website or talk with us.

How we use it. We use business contact information to judge whether our services might be relevant to a person and their company, to contact that person at work, and to confirm that an email address is likely to work before anything is sent to it. When someone replies, we use the information to answer them and, if they ask, to discuss or provide our services. We keep a stop list, the record of people who told us not to write again, so that the request is honoured. The information is also used where necessary to protect our systems and to meet the obligations the law places on us. Nothing in our emails records whether they were opened.

Asking us to stop. You do not need a form, a link or a particular phrase. Answer any of our emails, in whatever words you like, or tell the person who calls you, and we will stop. We act on these requests promptly and always within 10 business days. Your name and email address then go on the stop list. It exists so that you are not contacted again, whichever source your details might later arrive from, which is why we hold on to it rather than deleting it.

Who we share it with. We do not sell business contact information and we do not rent it out. It is never passed to other companies so that they can market to you, and never handed over for targeted advertising. It does go to the service providers who act on our behalf: the providers that send and receive our email and host our mailboxes, the services that verify email addresses, the business-data providers we work with, and the companies whose servers hold our systems and files. Each of them may use what it receives only in providing that service to us. We may disclose information to public authorities where the law compels us, or where disclosure is needed to protect our rights, or the safety of any person. If the business were ever sold or merged, the information would pass to the buyer or successor, which would be bound by this policy.

Retention. Business contact information stays with us for as long as it is useful to our work, and records that have gone out of date are removed. Records connected to a client engagement stay for the life of the work and for the accounting and legal duties that follow it. The stop list stays with us throughout the years in which we contact businesses, because that is the only way it can do its job.

How we protect it. Only the people whose work requires it can reach the information, and we apply safeguards that are reasonable for a firm of our size and kind. No system is perfectly secure, and we do not promise that ours is.

Your choices and rights. You can ask what we have on file about you and how we came by it. Corrections are yours to request if anything is wrong. Deletion is too, with one exception: your stop-list entry, which stays so you are not contacted again. State law, depending on where you live, can add rights of its own, including rights of access, correction and deletion, and the right to refuse having personal information sold or shared, something we do not do in any case. Exercising a right changes nothing about how we treat you. Requests can come by answering one of our emails, through the contact page on our main website, or by letter to the postal address above. To be sure we are dealing with the right person, we may ask you to confirm the address we wrote to. Our answer comes within the time the governing law permits. Someone you have authorized to act for you can also ask.

Children. Everything we do is directed at businesses and the adults who work in them. We never knowingly gather information on anyone younger than 18, and if we learned that we held any we would remove it.

Where we operate. Our business runs from Tennessee, inside the United States. Some of the service providers we rely on may process information in other locations where they operate.

Changes to this policy. When we change this policy we change the effective date beneath the heading. The version on this page is the current one.
